Roles

When you add users to Qalyptus Cloud, you must assign a role to them. A Role is the maximum level of access that a user can have to an organization.

Different roles are available in Qalyptus Cloud.

1- Tenant Administrator

A user with the Tenant Administrator role has full access to the administration console and access to all the content in all the organizations.

There are four types of Tenant Administrator roles.

  • Tenant Administrator (Creator)

    It gives full access to the administration console and permission to create, view, edit, and delete the content of all organizations.

  • Tenant Administrator (Explorer)

    It gives full access to the administration console and permissions to view and edit the existing content of all organizations.

  • Tenant Administrator (Viewer)

    Gives full access to the administration console and permissions to view existing content of all organizations.

  • Tenant Administrator (Unlicensed)

    The role gives full access only to the administration console.

You can have many users with the Tenant administrator role.

The Tenant owner has, by default, the Tenant Administrator, and he cannot be deleted, and you cannot change his role. This will guarantee that there is always a user that has full access to the tenant.

2- Administrator

The Administrator role gives the user full access to the administration console, and all the content is a specific organization. A user can be a member of one or more organizations. You need to assign a role for the user to each organization.

There are four types of Administrator roles.

  • Administrator (Creator)

    It gives full access to the administration console and permissions to create, view, edit, and delete the content of a specific organization.

  • Administrator (Explorer)

    It gives full access to the administration console and permissions to view and edit the existing content of a specific organization.

  • Administrator (Viewer)

    It gives full access to the administration console and permissions to view the existing content of a specific organization.

  • Administrator (Unlicensed)

    It gives full access to only the administration console.

3- Creator

The Creator role gives the user permission to create, view, edit, and delete the content of a specific organization.

4- Explorer

The Explorer role gives the user permission to view, and edit, the existing content of a specific organization.

5- Viewer

The Viewer role gives the user permission to view the existing content of a specific organization.

6- Unlicensed

The Unlicensed role does not give any permissions to the user. The user can be added to the task recipient list to receive reports, and you can change his role at any time to give them more permissions.

Assigning roles to the user will define the necessary license.

Licenses

To use Qalyptus Cloud, you need a license for the tenant and a license per user. The tenant license allows you to use the Qalyptus engine to generate and distribute reports until an unlimited member of recipients. The user license allows users to create, edit and view reports.

There are two types of Tenant licenses: Qalyptus Cloud Business and Qalyptus Cloud Enterprise and three types of licenses per user: Creator, Explorer, and Viewer.

1- Tenant license

After purchasing the licenses, you must activate your tenant from your Qalyptus Client Portal (my.qalyptus.com) by entering your Qalyptus Cloud hostname. Some features are only available in Qalyptus Cloud Enterprise and not in Qalyptus Cloud Business.

2- User license

The user license is assigned to the user automatically based on his roles. The license is defined by the higher role that the user has.

For example, if you want to assign a Creator role in organization X and a Viewer role in organization Y, the user needs a Creator license.

  • Creator

    The Creator license gives the user permission to create, view, edit, and delete the content of organizations he is a member of.

  • Explorer

    The Explorer license gives the user permission to view and edit existing content of organizations he is a member of.

  • Viewer

    The Viewer license gives the user permission to view the existing content of organizations he is a member of.

When you assign a role to a user, Qalyptus tries to assign a license with the same level as the highest role. Qalyptus will try to assign a license with more capacities if there are not enough licenses.

For example, if you assign a user the Explorer role, Qalyptus first tries to assign an Explorer license. Qalyptus will try to assign a Creator license if all Explorer licenses are used. If no Creator license is available, an error message will be displayed.
